One of last year’s hottest buzzwords was Onboarding, a term that describes the strategy a company has in recruiting and how to respond to new employees. An onboarding strategy can include everything from how you, as a new employee, are introduced to the team, how equipment and access to information are presented, and how to be included in the organization to build a “team-feeling.”
An onboarding project helps the newly recruited to perform and contribute to the goals of the business from the start already during recruitment. However, above all, the starting distance becomes shorter, and the new employee also gets easier to transfer their previous experiences and competencies to the company (because you are well aware of the new employees’ skills and competencies?).
At Asitis we let this mindset run like a red thread through all recruitment. Regardless of position, it is important for us that you as a new member of the staff feel secure in who we are, what we want and what we expect from you. Always with a smile and open doors.
However, what if the onboarding process also can be applied when you get started with new software? An onboarding for buying new services and systems?
With this in focus, we developed an onboarding process for our new cloud-based factorization system – Asitis Cloudware. We know how difficult it can be to get started with new digital services, and the fact is that many apps and digital service providers often fail to create an intuitive and triggering experience when they encode new products.
Systems can often be so full of functions and settings to suit everything and everyone, that it becomes daunting even to scramble around, and there we think one misses the goal. To satisfy everyone means that there is either confusion if this is really the product for you, or you are scared of all menus and settings and get a feeling that you do not have control.
Instead, we have listened to our customers’ fears and “pains,” analyzed their needs and pinpointed what was wanted between the lines. At the same time, we are strongly aware that we are active in an industry that is technically important with challenging demands. So being aware of where the thresholds are for our users have given us lots of insights about everything from how to get started with a new system to how to actually work in it.
With all this information it was time to start sketching software for factoring that would be available, intuitive, competent and triggering to use. We wanted our customers to get a nice feeling when logging in, to quickly see what they needed to do, where they needed to do this.
Moreover, how the result would be, everything was built with the customer’s needs, behaviors and wishes in focus.
With a ready-made software, the next step was to create a digital onboarding process for Asitis Cloudware. Below you can see how we have divided the process into a few simple steps to create a better overview.
- After an initial meeting or conversation, we offer a test login, so you have the opportunity to click around the system and see how Cloudware’s intuitive user interface guides the user right in menus and steps. We have optimized the information flow in the system so that the user mainly sees what needs to be in order to take the next step. Dialogs and interfaces guide the user through the process.
- In the next step, we make an initial analysis of your client’s needs and requirements and together go through customer flows, fees, and routines. This analys is needed to create the right conditions and to set up the support and structure of the system required to meet all your needs. After this step is completed, we present a workflow that will work for you.
- The next step is to create roles, rights, and users. Asitis helps set up the hierarchical role structure. Together we also analyze current and desired API integrations to adapt your Cloudware environment to your needs.
- When Asitis has set up the environment and has created roles and rights, it is time for education in all functions and opportunities. Asitis analyzes your way of working and gives tips and advice for smoother processes. All the time with the customer in focus.
An onboarding process does not end at the last step but is an ongoing work that creates long-term – relationships. We know that it is together with our customers we continue to develop, and the goal is always to simplify and automate heavy processes.
